Rutgers Cancer Institute of New Jersey (CINJ) is dedicated to the prevention, treatment, and care of patients with cancer, transforming science into clinical practice. Part of Rutgers University, CINJ is one of only 51 Comprehensive Cancer Centers in the nation designated by the National Cancer Institute and the only one in New Jersey located in the heart of New Brunswick. CINJ has over 850 employees and manages more than 120,000 patient visits annually.​

Challenge

  • Managing the CINJ contact database and information needed to be centralized, reconfigured to allow for complex relationships, and reportable.​

  • Event management was primarily run through email, calendars, and spreadsheets. ​

  • Tracking internal/external event staff, speakers, assets, and collaterals required by event were difficult to manage in an effective way.​

  • CINJ needed a way to track event outcomes, costs, and future event planning.​

Solution

  • Established a data model to support the multi-dimensional relationships.​

  • Created custom event calendars and provided appropriate permissions based on user-level access.​

  • Developed flows, process builders, record types, page layouts, fields, etc. to allow for CINJ to capture all relevant data points based on key factors such as type of event and type of contact relationship.

  • Built custom reports and dashboards so that the CINJ team could monitor existing events, plan for future ones, and understand team capacity and availability.​

Result

  • Gave CINJ the ability to visualize and link partnerships and relationships beyond a single dimension.​

  • Enhanced insight into asset and staff availability using public and shared calendars.​

  • Provided CINJ with a single source to enter all relevant information for events which has allowed for more detailed reporting and insight into event planning and ROI.​
