In 2010, Hayward became one of the first five cities in the nation to receive a Promise Neighborhood grant from the US Department of Education. Led by California State University, East Bay, Hayward Promise Neighborhood (HPN) is a partnership of local educators, government agencies, businesses, and nonprofits collaborating to fully support residents within the Jackson Triangle communities of Hayward and students that attend partner schools within the Hayward Unified School District, to provide comprehensive, high-quality educational and social support to ensure the long-term health, safety and economic well-being of the entire community.
Challenge
Federal requirements of the Promise Neighborhood grant requires rigorous reporting to substantiate the federal dollars spent across different programs
Hayward Promise Neighborhoods was addressing these reporting requirements through manual data entry via spreadsheets and email. Reporting was manually aggregated and compiled
No end-to-end case and program management system existed that could summarize all program touchpoints per individual
Solution
Migration of data collection, storage, display, and reporting functionality to Salesforce
Conducted onsite workshop sessions to refine future state requirements and data architecture
Documented application requirements as efficiently as possible, while also probing for potential enhancements and pain points
Identify data migration specifications and needs for different programs and schools

Contact, Account, Household, and Household Member objects configured to match business structure
Duplication management setup to ensure data integrity for the future
End-to-end case management process configured to live under parent objects listed above
