CWM is the healthcare consulting and operations division of UMass Med. School that has expanded to 20+ states and several countries. Drawing on the academic knowledge and public health service expertise of Massachusetts’s only public medical school to provide comprehensive, innovative healthcare and policy solutions. These solutions help state and federal agencies and other healthcare organizations create and apply the solutions needed; offering innovation on clinical, policy and financial challenges, to developing and administer programs serving vulnerable populations.

Challenge

  • Perform a review for each of the predetermined 13 internal IT divisions that were considered out of compliance with current security standards because the application was at least two software upgrades behind

  • Of the 13 applications out of security compliance, we were to determine which were good candidates for re-platforming to Salesforce vs upgrading and maintaining internally

  • CWM had determined a low and high-end cost for upgrading the applications to meet compliance levels and we were expected to provide insightful cost expectations and the level of effort required based on the review meetings for each of the thirteen divisions

Solution

  • Met with all 13 divisions to better understand their application’s core functionality

  • Documented application requirements as efficiently as possible, while also probing for potential enhancements and pain points

  • Produce a presentation that will be utilized by upper-level management to justify application re-platforming to Salesforce vs upgrading applications internally

  • Produced an Excel file that compared CWM’s cost expectations to our own, as well as the LOE required

Result

  • Provided a presentation and supplemental Excel file that reviewed all division applications at a high level, followed by the individual applications at a granular level. The application analysis was as follows:

    • An analysis of the current state, as well as any enhancements for a proposed future state

    • Provided a feasibility assessment on a generalized scale: Very Likely, Likely, Less Likely, Unlikely

    • A comparison of CWM and Eigen X's Low & High level cost estimates for re-platforming

    • Level of Effort (LOE) via a time range (months vs years)

    • The cost and LOE estimates were paramount for the pending budget meeting
